TPT Solutions Ltd (“we”, “us”, “our”) operates TPT Pets at pets.tptsolutions.co.nz. We are based in New Zealand and are bound by the New Zealand Privacy Act 2020 (“Privacy Act”) and, where applicable, the EU General Data Protection Regulation (GDPR), UK GDPR, and other applicable privacy laws.

This Privacy Policy explains what personal information we collect when you use TPT Pets, how we use it, and your rights regarding that information. By using the Service you consent to the practices described here.

2. Information We Collect

Information you provide directly

  • Account details: name, email address, phone number, and business name.
  • Billing information: credit card details (processed securely by Stripe — we do not store card numbers).
  • Animal profiles: pet names, species, breed, age, weight, vaccination records, medical notes, and care instructions.
  • Client records: pet owner names, contact details, and emergency contacts you add to your account.
  • Booking data: appointment dates and times, service types, drop-off and pick-up records.
  • Staff information: employee names, roles, and schedules you add to your account.
  • Communications: emails or messages you send to our support team.

Information collected automatically

  • Log data: IP address, browser type, pages visited, and timestamps.
  • Device information: device type, operating system, and screen resolution.
  • Usage data: features used, booking volumes, error logs — used to improve the Service.
  • Cookies: session cookies required for authentication. We do not use third-party advertising cookies.

3. How We Use Your Information

  • To provide, operate, and improve TPT Pets.
  • To manage bookings, animal profiles, and appointment scheduling.
  • To process payments and manage your subscription.
  • To send transactional emails (booking confirmations, reminders, payment receipts).
  • To send product updates and feature announcements (you can opt out).
  • To detect and prevent fraud, abuse, and unauthorised access.
  • To respond to support requests.
  • To comply with legal obligations.

We do not sell, rent, or trade your personal information or your clients' data to third parties.

4. How We Share Your Information

  • Service providers: Trusted third-party vendors including Supabase (database), Stripe (payments), and Vercel (hosting). These providers process data only on our instructions and are bound by confidentiality obligations.
  • Legal requirements: If required by law, court order, or government authority, we may disclose information to comply with our legal obligations.
  • Business transfers: If TPT Solutions Ltd is acquired or its assets transferred, your information may be transferred as part of that transaction. We will notify you in advance.

5. Data Storage and Security

Your data is stored on servers located in Australia and/or the United States, operated by our hosting providers. We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls.

If you suspect any unauthorised access to your account, please notify us immediately at support@tptsolutions.co.nz.

6. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, we retain your data for 30 days to allow you to export it, after which it is deleted from our live systems. We may retain certain records longer where required by law.

7. Your Rights

Under the New Zealand Privacy Act 2020 and other applicable laws, you have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information (subject to legal retention requirements).
  • Object to or restrict our processing of your information in certain circumstances.
  • Export your data at any time from within the app.
  • Withdraw consent where processing is based on consent (e.g. marketing emails).

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered account holders by email before material changes take effect. The “Last updated” date at the top of this page reflects the current version.
